Olink Technologies PLC ("Olink," "we," "us," or "our") operates the Olink Dispatch platform ("Service"), an AI-powered dispatch management system for trucking carriers. This Privacy Policy describes how we collect, use, store, and protect your information when you use our website at olinkgo.us, our mobile applications (Olink Driver and Olink Dispatch), and our API services.

2. Information We Collect

2.1 Account Information

When you create an account, we collect:

• Company name, MC number, DOT number
• Contact name, email address, phone number
• Login credentials (password is stored as a salted hash, never in plaintext)

2.2 Gmail Data (via Google OAuth)

When you connect your Gmail account to Olink Dispatch, we access the following data through the Gmail API with your explicit authorization:

• Email messages — We read incoming emails to your connected dispatch inbox to classify broker communications (load offers, rate confirmations, document requests, check calls) and draft professional replies.
• Email metadata — Subject lines, sender addresses, timestamps, and thread identifiers to organize email conversations.
• Email sending — We send email replies from your connected Gmail address on your behalf, only after you approve each reply in the approval queue.

We do not:

• Access or store your Gmail password
• Read emails unrelated to dispatch operations
• Share your email content with third parties
• Use your email data for advertising purposes
• Retain email content after processing (only structured extracted data is stored)

2.3 Driver Location Data

When drivers use the Olink Driver app, we collect GPS location data to provide real-time fleet tracking. Location data is collected only when the app is active or when background location permission is granted. Drivers can disable location sharing at any time through app settings.

2.4 Load and Financial Data

We store load details (origin, destination, rates, dates, commodity information), driver settlement records, fuel transaction data, and documents (rate confirmations, bills of lading) that you upload or that are extracted from broker communications.

2.5 Usage and Technical Data

We collect standard technical data including IP addresses, browser type, device information, and usage patterns to maintain and improve our Service.

3. How We Use Your Information

We use the information we collect to:

• Classify incoming broker emails and draft contextual replies using AI
• Provide rate intelligence by analyzing historical lane data
• Track driver locations and load status in real time
• Calculate driver settlements and dispatch fees
• Send you notifications about pending approvals and system events
• Improve our AI models and service quality
• Comply with legal obligations

4. AI Processing and Google API Services

Olink Dispatch uses Google Gemini AI to process email content for classification and reply drafting. Email content is sent to Google's Gemini API for processing and is subject to Google's API terms of service. We do not use email content to train AI models.

Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. Data Storage and Security

Your data is stored securely using the following measures:

• Database — PostgreSQL hosted on Supabase with encrypted connections (TLS/SSL)
• API server — Google Cloud Run with HTTPS enforcement
• Authentication — JWT Bearer tokens with HS256 signing; passwords hashed with bcrypt
• OAuth tokens — Gmail OAuth refresh tokens stored in encrypted JSONB columns
• Secrets — API keys and credentials managed via Google Cloud Secret Manager
• Documents — Stored in Supabase Storage with signed URLs (time-limited access)

6. Data Sharing

We do not sell your personal information. We share data only in these circumstances:

• Service providers — Google Cloud (hosting, AI), Supabase (database), Twilio (SMS), Resend (email notifications) — only as necessary to operate the Service
• At your direction — When you approve sending an email reply to a broker, we send it via your Gmail account
• Legal requirements — When required by law, subpoena, or government request

7. Data Retention

We retain your account data for as long as your account is active. Email content is processed in real time and only structured extracted data (load details, classification results) is stored long-term. Raw email bodies are stored as previews (up to 1,500 characters) in the approval queue for operator review, then retained for audit purposes for 90 days.

You may request deletion of your account and associated data at any time by contacting us.

8. Your Rights

You have the right to:

• Access — Request a copy of the personal data we hold about you
• Correction — Update or correct inaccurate information
• Deletion — Request deletion of your account and data
• Revoke access — Disconnect your Gmail account at any time through your Google Account settings or through the Olink Dispatch settings page
• Data portability — Request your data in a machine-readable format
• Opt out — Disable location tracking, email notifications, or any optional feature

9. Children's Privacy

Our Service is designed for business use by trucking carriers and their employees. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us immediately.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page with a revised "Last updated" date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
